Privacy Policy
Last updated:
At Editorial Data, we take the privacy of our users and the security of their data very seriously. This policy describes how we collect, use and protect your information.
1. Information We Collect
We collect the information needed to publish and maintain journal profiles in the Directory:
- Registration Information: Name, email address, institutional affiliation and position.
- Publication Information: Journal metadata (titles, ISSN, URLs and editorial policies).
- Browsing Data: IP address, browser type and platform interactions to improve user experience.
2. Use of Information
We use the collected data for the following purposes:
- Manage your account and process journal applications to the Directory.
- Display public information from journals in our global directory.
- Harvest metadata via OAI-PMH for technical bibliometric analysis.
- Send important communications about the status of your application or platform updates.
- Improve the security and functionality of the Platform.
3. Data Sharing
Editorial Data does not sell or rent your personal data to third parties. Your data may be shared only in the following cases:
- Public Information: Journal editorial information is public by the nature of the directory service.
- Service Providers: With third parties that help us operate the platform (e.g. payment processors, hosting services), under strict confidentiality agreements.
- Legal Requirements: If required by law or to protect the rights of the Platform.
4. Data Security
We implement technical and organizational security measures to protect your information against loss, theft or unauthorized access. This includes the use of encryption protocols and state-of-the-art firewalls.
5. Your Rights
You have the right to access, rectify or delete your personal data stored on our platform. You can manage most of this information directly from your user panel or by contacting us if you wish to permanently close your account.
6. Cookies
We use cookies to keep your session active and analyze site traffic. You can configure your browser to reject cookies, although this may affect the functionality of some areas of the Platform.
7. Visit measurement
We count visits to the public pages with our own measurement, without third-party services. We do not store IP addresses and we do not place any cookie to identify visitors: each visit is recorded with an identifier derived from technical data that is recalculated every day, so it cannot be used to follow a person over time or be traced back to them.
We keep the country, device type, language and whether the visit came from a search engine, a link or a direct visit, to understand how the directory is used. Detailed visits are deleted after 90 days; only daily totals remain, which no longer refer to any person.
The country, and whether a visit comes from a data center rather than from a person, are resolved locally, on our own servers, with the IP to Country Lite and ASN Lite databases by DB-IP, licensed under CC BY 4.0. No visit data is sent to any third party.
8. Account security
Unlike visit measurement, which is anonymous, when you sign in to your account we record the date and time, the IP address, the browser and device type, and the approximate country, which we resolve locally from the IP address with the DB-IP database mentioned above. We also record failed sign-in attempts on existing accounts and changes to account data (name, email address, time zone, email preferences, verification and roles). For the password we only note that it was changed, never the password itself.
We use these records to protect your account, detect unauthorized access, answer support requests and improve the service. Only the platform administration team can see them and they are not shared with third parties. They are kept for 12 months; if the account is deleted, the sign-in records are deleted too.
9. Changes to this Policy
We reserve the right to update this Privacy Policy to reflect changes in our practices or legal requirements. We will notify you of any significant changes through your registered email.
For any questions about the processing of your data, please contact us through our contact page.
